This notice explains how Kiplings handles personal information for clients, candidates, suppliers, and website visitors in Canada.It applies to activities related to leadership search, interim and fractional management, and outsourced management teams, as well as contact forms, calls, and email correspondence.
The policy aligns with Canadian privacy laws, including PIPEDA, and is intended to describe practices in clear, practical terms.
Information we collect
Kiplings collects business contact details (name, role, company, email, phone), mandate information, and communication history.For candidates and interim leaders we may also process résumés, career history, certifications, work-eligibility details, references, interview notes, and results of background screening where permitted by law and with consent.
Website and email interactions may generate technical data such as IP address, device/browser information, and page activity used to maintain security and improve the service.
How information is used
Information is used to respond to enquiries, assess and present candidates, manage engagements, conduct due diligence, negotiate and deliver contracts, provide client reporting, and maintain security.With permission, Kiplings may send service updates or invitations that can be declined at any time.
Data may be aggregated or de-identified for internal analytics; these summaries do not identify individuals.
Sharing and locations of processing
Personal information is shared only as needed: with client organizations for evaluation and onboarding; with service providers such as applicant-tracking platforms, background-screening firms, cloud hosts, and professional advisers bound by confidentiality; and when required by law or to protect rights and safety.Kiplings does not sell personal information.
Some processing may occur outside your province or outside Canada; when it does, contractual and technical safeguards are applied to protect the information to Canadian standards.
Your choices, retention, security, and contacting us
Individuals may request access to their information, ask for corrections, withdraw consent where applicable, or submit a complaint.Kiplings keeps information only as long as necessary for the purposes above and protects it using administrative, technical, and physical safeguards appropriate to the sensitivity of the data.
